Welcome to the Pre-Registration and Land Allocation page for Potrero War!

Gate opens at 10am on Thursday for pre-registered attendees and Noon on Thursday for General Entrance.

Site Opens on Thursday!

Gates will open at 10am Thursday for those who choose to spend an extra day with us. Attending Thursday will cost an additional $5 for adults and children over the age of 13, but only an additional $2 for children between the ages of 6-12. Children under the age of 5 continue to be guests of the Barony.

A few notes from our Pre-Registration autocrat:

  1. Remember your paperwork "MUST BE POSTMARKED" by May 2nd in order to be considered pre-registered.
  2. Don't forget to include the $1 fee per vehicle, this includes trailers, motorcycles & RVs as well. If you have sent in your paperwork without this fee you will be asked to pay it at gate when you check in. This fee goes to cover the cost of the spraying for the red ants in the park.
  3. Please *Do NOT* send anything requiring a signature. It will not be accepted. This includes Certified Mail, Express Mail, Registered Mail, Fedex or UPS.
  4. Please remember that you have to send in a copy of the *front and back* of your membership card and your fighter card.
  5. If you have pre-registered online and DO NOT send in your paperworkby 5/2/09, YOU WILL NOT BE CONSIDERED PRE-REGISTERED and will have to wait until Noon to be admitted to the park. This includes the paperwork for those who pre-reigstered and paid online via ACCEPS.

We are pleased to be able to offer several methods of pre-registration. You may either fill out your registration online or print out the forms below. In both cases, you MUST mail them to the address provided. Your check or money order should be sent with your registration paperwork.

Proof of SCA membership is required for reduced rate

All minors not accompanied by their parents or legal guardians must have a notarized (in the state the minor is from) "Minor's Waiver and Informed Consent to Participate" sent with the temporary guardian. Minors without the appropriate forms will not be allowed on site. Emancipated Minors must be able to show legal proof.

Land Allocation - Open!

The Barony will be providing Land Allocation Services for Potrero War. We will accept requests for land from groups on ten or more persons. Pre-registration is not required, but it is encouraged as it will save you money and can increase the amount of land your group is allocated. Land will be allocated based upon the level of your registration. Except for Sleepy Hollow, those paying the full price will receive 250 square feet per person, those paying the Youth price will receive 125 square feet and those children who are guests of the Barony will receive no land allocation. Large groups who pre-register will be allocated an additional 250 square feet for every 10 people who have pre-registered. Geopolitical groups (i.e., Royals, Baronies, Cantons, Shires, and Colleges) will get preferential treatment and an additional 900 square feet for infrastructure items such as a great hall and fire pits. After geopolitical groups, land allocation sites for household groups will be first come, first served. Groups are asked to decide upon a single, central point of contact that is empowered to speak for the group. Please provide us with your first, second and third choices respectively, by grid location from the site map and we will do our best to accommodate your wishes.

For large group encampments, the Staff recommends Stone's Throw, North Shore, Camelot, the Breaks and Bedlam. Unfortunately the camp sites in Sleepy Hollow are not set up to accommodate large communal spaces such as dining halls and drum circles and are more appropriate for small to medium sized groups.

Rules

General Rules

1. Land allocation is for groups of 10 or more and is NOT tied to pre-registration. There are, however, benefits for pre-registration.
2. To make the land allocation process work more smoothly, each group must designate one person to be the contact person for their group. That person MUST BE PRE-REGISTERED and be able to speak for the group. We will need their modern and SCA names, phone numbers and e-mail address. Use an e-mail address that will allow the land allocation staff to contact you. The contact person for your group must enroll the group in the land allocation process.
3. Just because you have pre-registered does not mean that you will automatically have land allocated for you. Once your group has enrolled in the land allocation process, individual members of the group may then sign up to stay with the group. This will automatically send an e-mail to the contact person, indicating your desire to stay with the group.
4. Land will be allocated to groups based solely on the number of campers who have signed up to stay with the group. If you have a large group, you will want as many people as possible in your group to participate in land allocation. If you have a group of 50 and only 10 sign up to stay with the group through Land allocation, you will receive only 2500 square feet. It will be a very tight squeeze. Also large group who participate in Land Allocation will get an additional 250 square feet for every 10 people who have PRE-REGISTERED. Do not sign up made-up names or your pets. We will find out.
5. Geo-political groups (i.e. Cantons, Shires, Baronies, Colleges and Royals) will get preferential treatment and an extra 900 square feet for infrastructure, such as dining halls and fire pits.
6. Make a first, second and third choice. Do not make all your choices the same. If you do not make a second or third choice, the default setting is A-1. This will appear on your list of choices. We will do our best to honor your choice. If you have a particular site that you want, use the comment section to describe the area in detail. Be very explicit. Do not assume that the Land Allocation staff remembers where you have camped in the past, or that they know where you want to be.
7. If you are camping in Stone's Throw, please DO NOT use the T1-T7 designation for your camp site. These numbers are for use by Potrero County Parks for reserving camping sites. We do NOT use these camp site designations. Use the map co-ordinates.
8. Land allocation will close May 15th, 2009.
9. Reservation for land allocation will remain in effect until 6pm Friday evening. If no one from you group has arrived by then, your group loses its allocation. Those groups traveling more than 6 hours are invited to contact landallocation@potrerowar.org to discuss late arrival issues.
10. Negotiation with your neighbors is encouraged and any unallocated land is considered shared by however borders it. We ask that you please only take what you need. We ask that all groups be willing to work with their neighbors to come to reasonable, agreeable conclusion when land disputes arise.
11. Any groups found to be moving boundary markers or signs, adding new roads, cutting off access to the water supply or attempting to set up camp in an area reserved for another group will be removed from the site.

Sleepy Hollow/RV Registration

There are new rules for land allocation for Sleepy Hollow for both campsites and RV pads. DO NOT sign up for these under regular land allocation. Use the link at the bottom of this page.


1. If you wish to reserve an RV pad, use the Sleepy Hollow/RV registration link. Do NOT use the regular land allocation link.
2. If you wish to camp in Sleepy Hollow, please indicate the camp site number. DO NOT use the map co-ordinates. The area in Sleepy Hollow is small and the same map co-ordinates can be used for several site simultaneously.
3. Sleepy Hollow is not set up to accommodate large groups. If you choose to camp in Sleepy Hollow you will not receive 250 square feet per adult camper. There is simply not enough room.
4. Reserving a camp site in Sleepy Hollow entitles you to ½ the water and ½ the electricity. You must share with the occupants of the RV pad. You must allow the occupants of the RV pad ample room to enter and exit their vehicle.
5. Reserving an RV pad in Sleepy Hollow entitles you to ½ the water and ½ the electricity. You must share with the occupants of the camp site. The occupants of the camp site must allow you room to enter and exit your RV. You do not have the use of picnic tables, fire pits, or any part of the campsite.
6. You do not have use of the RV pad. This pad is reserved separately and is only for RV and camp trailers. You may NOT park your car on the RV pad. All cars must be parked in the parking lot.
7. Sleepy Hollow has a noise curfew. There are groups with small children who choose to camp in Sleepy Hollow for that reason. Please be considerate of your neighbors. If you have a loud group or are planning on a loud, adult oriented party, you must camp elsewhere.
8. DO NOT e-mail the pre-registration autocrat with any questions about RV or Sleepy Hollow camping. The appropriate contact person is the land allocation autocrat at landallocation@potrerowar.org.
9. All RV and Sleepy Hollow reservations are first come, first served. No special consideration is given for handicapped/disabled campers or groups with children.
